Terms & Conditions

Effective Date: August 18, 2026

These Terms & Conditions apply to services ordered through California Apostille & Translations. By submitting an order, providing documents, or using our services, you agree to these terms.

1. Our Services

California Apostille & Translations provides apostille processing, authentication assistance, certified translation, document review, shipping coordination, and related document services.

We are a private document-processing company and are not affiliated with the California Secretary of State or any federal, state, local, foreign, consular, or other government agency.

Our document-processing services do not constitute legal advice.

2. Customer Responsibility

You are responsible for providing complete and accurate information regarding your documents, including the country where the documents will be used and the intended purpose when relevant.

You are also responsible for providing authentic, complete, and eligible documents.

If a document requires correction, replacement, notarization, certification, translation, or other additional preparation before it can be processed, we may contact you before proceeding.

3. Original Documents

Many apostille and authentication services require original or properly certified documents.

Processing does not begin until all required eligible documents have been received, reviewed, and payment has been completed.

Clear scans or photographs may be submitted for preliminary review, but review of a copy does not guarantee that the original document will be accepted by a government agency or receiving authority.

4. Processing Times

The processing option selected during checkout applies to our processing service after the required eligible documents have been received, reviewed, and payment has been completed.

Processing times do not include:

  • Shipping or carrier transit time
  • Customer response time
  • Time required to replace or correct documents
  • Government closures or unexpected processing interruptions
  • Delays caused by government agencies, courts, issuing authorities, carriers, or other third parties
  • Circumstances outside our reasonable control

Unless expressly confirmed by us in writing, a processing option does not guarantee arrival at a foreign country, consulate, embassy, court, agency, or other final destination by a particular date.

5. Government and Receiving-Authority Decisions

Requirements may vary depending on the document, issuing authority, notarization, destination country, and intended use.

We make reasonable efforts to review documents and identify potential problems before submission. However, final acceptance or rejection is determined by the applicable government agency or receiving authority.

We cannot guarantee acceptance when an issue arises from the document itself, information supplied by the customer, an issuing authority, notarization or certification, a change in requirements, or a decision made by a third party.

6. Pricing and Payment

Payment is required before processing begins unless we have agreed otherwise in writing.

The amount shown during checkout is the amount charged for the services selected, together with any separately disclosed shipping charges or optional services.

California law generally requires advertised prices to include mandatory fees, while shipping may be separately stated.

Additional work requested or required after an order is placed may result in additional charges. We will notify you before performing materially different additional paid services whenever reasonably possible.

7. Cancellations and Refunds

Cancellations and refunds are governed by our Refund & Cancellation Policy, which is incorporated into these Terms & Conditions.

Generally, an order may be cancelled before work begins. Once processing, translation, courier work, government submission, shipping, or other work has begun or expenses have been incurred, amounts attributable to completed work and incurred expenses may be non-refundable.

Please review the complete Refund & Cancellation Policy before placing an order.

8. Mailing and Document Drop-Off

Unless otherwise instructed, original documents being mailed to us should be sent to:

Orange County Apostille & Translations
901 W Civic Center Dr., Suite 400
Santa Ana, CA 92703

Documents may also be left with the front desk at this location.

Drop-off at any other office location requires a confirmed appointment in advance. Please do not leave original documents at another location unless we have confirmed that someone will be available to receive them.

9. Local Pickup

Selecting Local Pickup during checkout identifies where you would like to receive your completed documents.

Selecting a pickup location does not authorize you to drop off original documents at that office without an appointment.

We will notify you when completed documents are ready. Please wait for confirmation before traveling to your selected pickup location.

10. Shipping

Customers are responsible for providing a complete and accurate shipping address.

Once documents have been transferred to a shipping carrier, carrier transit times and delays are outside our direct control.

Tracking information may be provided when available.

If documents are returned to us because of an incorrect or incomplete address, additional shipping charges may apply.

11. Certified Translations

Translation services are based on the source documents and information provided to us.

If a receiving authority has specific translator, certification, notarization, formatting, or credential requirements, please disclose those requirements before translation work begins whenever known.

Corrections to an error attributable to our translation will be made without an additional translation charge. Changes to the source document, additional pages, or newly disclosed requirements may require an additional fee.

12. Communication

We may contact you by telephone, text message, or email regarding your order, document issues, payment, processing status, pickup, or delivery.

You are responsible for providing current contact information and responding when additional information or authorization is necessary to continue processing.

13. Errors

If an error attributable to California Apostille & Translations prevents completion of the service ordered, we will make reasonable efforts to correct the error without an additional service charge.

Refund eligibility for an affected service is governed by our Refund & Cancellation Policy.

14. Changes to an Order

Changes requested after processing has begun may affect pricing and turnaround time.

Changing the destination country, document type, processing speed, translation requirements, return method, or other material order details may require additional work or fees.

15. Privacy

Information and documents submitted to us are handled in accordance with our Privacy Policy.

Our services may require information to be provided to government agencies, translators, shipping carriers, payment processors, or other service providers as necessary to perform the service requested.

16. Changes to These Terms

We may update these Terms & Conditions from time to time. The version applicable to your transaction is the version in effect when your order is placed.

Nothing in these Terms & Conditions is intended to waive rights or protections that cannot legally be waived.
